ADDING A NEW CUSTOMER

When you first login to the Mailbox Control Panel, you'll see a list of your current customers.

To add a new customer, click Create Customer, then fill in all of the necessary details.

We have minimum strength password policies on the system, so you must choose passwords that meets the minimums. The system will tell you if you fail to do so.

Once your customer has been created, click on their username, then click Create Hosting Space.

  • Choose from one of the preset Hosted Organisation plans.
  • Set the status to Active.
  • Untick the Send Space Summary Letter.
  • Untick the Create Space Resources box.
  • Tick the Automated Hosted Organization Provisioning box.
  • Enter the customer’s primary domain name in the available field.
  • Click Create Space.
  • This will automatically add the customer’s domain name into their Domains pool, which can be seen by clicking the System > Domains icon.

 

ADD DOMAIN NAMES

If the customer intends to receive mail into Exchange for additional domain names, these domains should first be added by clicking the Domains icon, then following the prompts. Remember, your customer must own these domains to add them.

These same domains will later need to be added as Accepted Domains in the customer’s Hosted Organisation. More on that below.

 

CONFIGURE HOSTED ORGANISATION

Hosted Organisations (OU) do not include any mailboxes. They are simply the foundational building block required when creating users and mailboxes in Exchange Server 2013.

This means you will need to update their Hosting Space to include mailboxes in addition to their Hosted Organisation.

To the right of the control panel screen, you'll see the name of the Hosted Organisation plan you've created for your client, eg, HOSTED ORGANISATION.

  • Underneath that, click on Edit Details.
  • Now under the heading Space Add-Ons, click Add Add-on and select the type and number of additional mailboxes required, then click Save.

 

OPTIONAL HOSTED ORGANISATION CONFIGURATION

If you unticked the Automated Hosted Organization Provisioning box when creating the customer’s Hosting Space, you will need to manually create your client's Hosted Organisation.

If you did click the Automated Hosted Organization Provisioning box when creating the customer’s Hosting Space, you can skip over the next couple of steps.

  • From the left hand menu, click Hosted Organisations.
  • Enter the name of your client's company in the Organisation Name field. This could also be their personal name if they're not signing up as a company.
  • You also need to choose an "Organisation ID". This is a kind of nickname for your company. It must be no more than 9 characters in length. For example, if your Hosted Organisation or company name is Handy Widgets Pty Ltd, you might choose something like "handy" or "widgets". This Organisation ID will be your unique identifier in the Active Directory, but it will also be used to create an initial domain alias for your mailbox.

 

ADD ACCEPTED DOMAIN NAMES INTO EXCHANGE

Once created, click on your Organisation Name, do the following:

From the System section, click Domains

Click on Add Domain

Choose whether you're adding a Domain or a Sub-domain. In most cases, you will choose Domain

Enter the name of the domain in the Name field.

Click Add Domain or click Cancel to disregard all changes.

 

Now scroll to the Hosted Organization section and click Domains

Click Add New Domain, select the domain to be added as an Accepted Domain for Exchange and click Add Domain

Your domain will now be available to use against all objects in your Exchange configuration.

 

CREATING MAILBOXES

  • From the left-hand menu, click on Mailboxes and choose Create New Mailbox.
  • Enter all of the necessary information and choose an appropriate Mailbox Plan based on what you've purchased. NOTE: If you're selling your customer a PLUS type mailbox which includes use of our supplied Outlook download and license, please ensure to choose the appropriate PLUS Mailbox Plan.
  • Finally, click Create Mailbox.

 

E-MAIL ALIASES

Once you create your first mailbox, you can click on the E-mail Addresses / Aliases tab to add any additional email addresses you'd like to receive to your mailbox.

Some aliases you should consider adding to be fully compliant with global email standards are: "postmaster" and "abuse".

IMPORTANT: Your primary e-mail address, along with this mailbox password, will now be your login information when using Outlook on the Web

 

OPTIONAL STEPS

If you need to receive mail from alternative or additional domains to your Hosted Organisation, folow the steps detailed above.There is no limit to the amount of domains you can accept mail from, however, you cannot add domains like google.com, hotmail.com etc. The domains you add, need to be your domain names. In other words, they need to be domains that you own. If it's discovered that you've added domains you do not own, they will be removed from our system without notice and without apology.

You can also add an unlimited range of email aliases by clicking on the E-mail Addresses / Aliases tab in any given mailbox.

If you require additional mailboxes for your clients at a later date, be sure to create them inside their existing Hosted Organisation (OU), otherwise their existing mailboxes will not be able to "see" the new ones and vice versa.

VIEWING & CONFIRMING YOUR RESOURCES

  • When you login to the Control Panel, from the menu on the left, click on:
  • Spaces > Hosted Organisation type, eg, HOSTED ORGANISATION > View All Quotas
  • This will provide you with a comprehensive report of all resources and features provided with your service.

 

VIEWING YOUR MAILBOX SIZE FROM OUTLOOK

  • Open Outlook and right-mouse click on the Outlook taskbar at the bottom of the Outlook interface.
  • Tick "Quota Information On".
  • Now in the bottom left-hand corner of the Outlook taskbar, you'll see the amount of free space in your mailbox in real time.
